Our Policy
At BioHat Systems, every product is inspected and securely packed before dispatch to ensure safe delivery.
However, in rare cases of transit damage, customers are required to strictly follow the instructions mentioned below to enable us to assist them.
When You Receive a Product
1. Mandatory Unboxing & Delivery Video
Customers must record a clear, uninterrupted unboxing video at the time of delivery.
The video should preferably be recorded in the presence of the delivery person.
The video must clearly show:
Sealed package
Condition of the outer box
Complete unboxing process
Product condition immediately after opening
If any damage, dent, breakage, leakage, or tampering is noticed on the box or product, it must be clearly visible in the video.
2. Contact Us Immediately
If the product is damaged:

Share the unboxing video as mandatory proof of transit damage.
3. Resolution
After reviewing the unboxing video, if transit damage is confirmed, we may:
Provide replacement parts, or
Assist with repair or resolution, as applicable
No claims will be accepted without a proper unboxing video.
Commercial & Industrial Products – Special Instructions
Mandatory Delivery & Unboxing Video
All commercial and industrial products strictly require a delivery-time unboxing video.
Claims without video proof will be treated as invalid and non-actionable.
Water Chillers – Important Safety & Startup Instructions
Water Chillers contain R22 refrigerant gas inside the compressor.
Due to transit movement, the gas needs time to stabilize.
DO NOT switch ON the chiller immediately after delivery.
Correct Startup Procedure
Wait a minimum of 4 hours after delivery
Properly connect water inlet and outlet
Ensure correct installation
Only then switch ON the power and check the product
Any damage or malfunction caused by early power-on or improper installation will not be covered under return, replacement, warranty, or insurance claims.
Important Purchase Guidelines
1. No Returns or Refunds
We do not accept returns or offer refunds for any reason.
Exceptions apply only for verified transit damage with valid unboxing video proof.
Once an order is confirmed and processed, it cannot be returned or refunded.
Please purchase only if you are fully certain about your requirements.
2. Spare Parts Compatibility
Spare parts may vary due to old and new model differences.
Customers must confirm compatibility before purchase.
We do not accept returns or refunds for mismatched or incompatible spare parts.
3. No Responsibility After Delivery
We are not responsible for damages caused after delivery due to:
Mishandling
Improper storage
Incorrect installation
Electrical or plumbing faults
External or environmental factors
4. Exceptions
A return, replacement, or resolution may be considered only in the following cases:
Transit Damaged Products:
Must be reported within 24 hours of delivery with a clear unboxing video.Manufacturing Defects:
Subject to verification and manufacturer warranty terms.
5. Warranty & Support
Products are covered under standard manufacturer warranty, where applicable.
Warranty claims are handled strictly as per manufacturer terms & conditions.

If a quotation is provided for any product, all website terms & conditions apply, even if not explicitly mentioned in the quotation.
6. Order Cancellation
Domestic Category Products & Spare Parts:
Can be canceled before dispatch only.Once shipped, cancellation is not allowed.
Commercial & Industrial Product orders cannot be canceled under any circumstances.
7. Booking Amount for Industrial Products
If an industrial product is booked with an advance payment, the booking amount is strictly non-refundable, even in case of cancellation.
